Identify the number and its source
Keep each number in its original form, including letters and leading zeroes. State whether it is an OE reference, an aftermarket brand number or your own stock code. If you have several numbers, list them separately and identify the source of each relationship.
Describe the vehicle and installation position
Include the vehicle make, model, model year, engine and transmission, market version and mounting position. If a detail is unknown, mark it as unknown rather than guessing. A photograph of the existing part and label can support the discussion, but should not be treated as proof of interchangeability.
Make quantities and requirements explicit
Give the quantity for each reference rather than only the total order quantity. Separate sample requests from repeat-order requirements. Add the destination country, preferred timing and any packaging or documentation needs.
Review the quotation before ordering
Check that the quoted reference and application match your request. Confirm the quantity, currency, price basis, MOQ, lead time and its starting conditions, packing, payment terms and quotation validity. Resolve open application questions before accepting the order.
